Assign Access Rights for Dashboards

Specify the employees or user roles that are authorized to access a dashboard, and understand how role-based sharing differs from employee-level sharing.

Check licensing and role impact

If Resource Planning licensing applies in your environment, take those requirements into account before assigning dashboard access. Also note that the dashboard sharing choice can affect dashpart visibility and role security expectations.

Assign the access rights

  1. Open Dashboards in the Navigation pane.
  2. Open the dashboard that you want to share from My Dashboards, Personal, or All Dashboards.
  3. Click Edit Mode.
  4. Select the dashboard in the dashboard list.
  5. On the edit mode toolbar, click Share.
  6. On Share this Dashboard, select the appropriate roles and employees.
  7. Click Save in the share dialog box.
  8. Click Save again on the Dashboard form.

Once saved, the dashboard becomes available immediately to the specified roles or employees.

Share by role or by employee?

Sharing by role is the cleaner model when a dashboard is intended for a repeatable audience. If the target role has rights to save personal dashboards only, Vantagepoint automatically updates the dashpart access rights for that role so the role can access all dashparts included on the shared dashboard.

Practical guidance

  • Share by role when the dashboard is intended for a stable audience with the same business need.
  • Share by employee when access should stay tightly controlled or temporary.
  • Always validate the dashparts themselves after sharing, not just the dashboard shell.
