Open topicWhat is PIM for Outlook?
PIM for Outlook is an enhanced Outlook add-in that connects Microsoft Outlook with Deltek PIM. It lets users publish emails and attachments directly into the document management system while staying inside Outlook.
The add-in supports the new Outlook experience on Windows and Outlook Web App, giving users a consistent publishing experience across platforms.
Why users care
The add-in reduces context switching. Users can publish project email, choose a relevant location, apply metadata, and keep attachments aligned with the message from a single side panel.
What changed
The new experience replaces the legacy Outlook add-in with smarter suggestions, a more guided interface, and stronger alignment between Outlook and Deltek PIM.
Key benefits of the new add-in
- Smart location suggestions based on email content, subject lines, attachments, and conversation history.
- Streamlined publishing for one or many emails.
- Flexible attachment handling, including separate publishing when needed.
- Consistent experience across the new Outlook for Windows and Outlook Web App.
- Better metadata control and document indexing during publishing.
- Stronger compliance by keeping project communications inside the DMS.
Supported environments
- New Outlook for Windows
- Outlook Web App
- Not Supported
PIM for Outlook is fully supported in the new Outlook for Windows experience and is designed around Microsoft's current add-in model.
The same add-in experience is available in Outlook Web App, which gives users a consistent publishing workflow in the browser.
The guide explicitly notes that the old or classic Outlook client is not supported for this new add-in experience.
PIM for Outlook is aligned to the new Outlook for Windows and Outlook Web App. For demo purposes, this is a useful contrast point because it shows how the help can surface compatibility guidance clearly at the point of use.
Published indicators and migration
Older versions of the Outlook add-in used a green checkmark icon to show successful publication. The new add-in replaces that with Outlook category tags that indicate publish status.

Indicates an email was successfully published to PIM.

Indicates a publish attempt failed and may need review.
View the migration steps for previously published emails
- Open Outlook and go to the Deltek PIM ribbon.
- Click Migrate.
- Review the confirmation dialog and click Yes.
Once migration completes, previously published emails are updated with the new category-based indicators and the legacy add-in is disabled.
