Known Issues and Limitations
The new PIM for Outlook experience improves the legacy add-in, but it still has some current limitations and behavior differences that users need to understand.
Review the limitations by theme
- Environment
- Publishing behavior
- Feature availability
- PIM for Outlook requires online access.
If the PIM site is not publicly accessible, users may need the corporate VPN.
- The add-in also requires access to Microsoft 365 cloud services.
The guide supports the new Outlook for Windows and Outlook Web App. Tablets or mobile devices using browser-based Outlook are not supported because Microsoft requires a separate mobile UI.
- Emails published without a subject appear in PIM as No Subject.
- Scheduled or delayed emails are not published until they are actually sent.
Server-added footers or other modifications that happen after sending do not appear in the PIM version of the email.
Internal recipients may not see a published indicator until they open the email with the add-in active.
- The legacy mobile publish folders are not supported.
Some actions such as Search DMS or Sync Contacts are accessed from the ribbon rather than the compose pane.
Sync Contacts currently adds new contacts only; updating or deleting previously synced contacts is not supported.
Published email indicators
Instead of the old published checkmark, the new add-in uses Outlook categories to show publish status.

Run the migration tool in the legacy add-in before switching fully to the new one so previously published emails are recognized correctly.
If users rename the new Outlook categories, PIM recreates them and the visual indicators may disappear until the emails are reloaded.
